Privacy Policy
Updated October 2026The Sydney Run Club (“TSRC”, “we”) respects your privacy. This policy explains what we collect when you use our website, join the Club, come to our runs and events or shop with us, and what we do with it.
What we collect
- Your details: Your name and email when you join, and your mobile number if you add it (it’s needed to buy event tickets).
- Your preferences: Whether you’d like our monthly email and whether you’re happy to get texts from us.
- Runs and events: The runs you RSVP to, the events you register for or buy tickets to, waitlist places, and when you check in.
- Orders: What you buy in our shop. Payments are handled by Shopify; we never see or store your card details.
- Invites: If you joined through a member’s invite link, who invited you.
- Strava: Only if you connect it: your Strava name and athlete ID, access to read your activities, and the details of your runs that match a TSRC run (date, distance, moving time, your best 5k and 10k times, how even your kilometres were, and the Strava activity). We read your other activities only to find the TSRC ones and don’t keep them.
- Photos: We take photos at runs and events and share them on our website and social media.
- Cookies: We use cookies to keep you signed in and to remember your shopping bag. We don’t use advertising cookies.
How we use it
To run the Club: your profile and member pass, check-ins, event places and tickets, waitlists, orders, and member offers that unlock as you run with us.
To contact you about the runs and events you’ve signed up for (changes, cancellations, confirmations). Our monthly email and texts go only to people who’ve said yes, and every email has an unsubscribe link.
If you connect Strava, to show you your runs with TSRC on your profile, and to check you in to the TSRC runs you recorded so they count like a check-in at the run. Your Strava data is shown only to you: we don’t share it with other members, partners or sponsors, or use it for marketing.
For trophies: after a run we may award you trophies for things like milestones, streaks, turning up in the rain or (if you connect Strava) the quickest 5k among the runners there. Your trophies are shown only to you, on your profile. Some are worked out by comparing the runs of members who connected Strava, but we never show anyone else’s name, times or results. Nobody else can see your trophies unless you share them yourself, and you can turn trophy emails off in your profile.
To understand how the website is used: we count visits, pages and actions (like joining or RSVPing), where visitors came from (like a link or a search engine), and their type of device, browser and country. We do this without cookies and without identifying you: these records never include your name, email or member details. A visitor is counted with a code that changes every day, made from your IP address and browser; we never store the IP address itself, and if your browser sends Global Privacy Control we don’t make the code at all. The only thing kept in your browser is when the tab was last used, to tell a new visit from the next page of the same one; it’s cleared when you close the tab. We keep these records for 13 months.
To understand how the Club is going, for example how many people came to an event. When we report to partners and sponsors we share totals, not your personal details.
Who we share it with
We don’t sell your information. We use trusted services to run the Club: Amazon Web Services (sign-in, member data and email, stored in Sydney), Shopify (shop and tickets), Sanity (website content, which doesn’t include member data) and, if you connect it, Strava (your activities). They only use it to provide their service to us. Some of these services may store information outside Australia.
How long we keep it
For as long as you’re a member, and as needed for our records (for example, orders for tax). Ask us any time to delete your account and we will, except where we have to keep something by law.
Your choices and rights
- See or update your details on your profile, or ask us for a copy of what we hold.
- Turn the monthly email or texts off any time (the unsubscribe link in each email, or your profile).
- Disconnect Strava on your profile any time. We revoke our access and delete your Strava data straight away, and the same happens if you remove TSRC in your Strava settings. Trophies you won with Strava runs stay, without their times or distances. Runs already counted as check-ins stay on your record, like any other check-in.
- Turn trophy emails off any time in your profile.
- Delete your account any time in your profile (Settings, then Account). We delete your login, profile, Strava connection and data, trophies, newsletter subscription and email history, and upcoming RSVPs. Runs you came to stay in attendance counts as “Former member”, without your name, and orders stay with Shopify for tax.
- Ask us to remove a photo of you.
- If you’re unhappy with how we’ve handled your information, tell us first. You can also contact the Office of the Australian Information Commissioner (oaic.gov.au).
Keeping it safe
Your account uses one-time sign-in codes (no passwords to leak), our systems are access-controlled, and only TSRC admins can see member details.
